Keep these together

Choose the Rent Roll date.

Rent Roll

It covers active tenants and former tenants with money owing. It includes dates, rental rates, deposits and amounts owed or prepaid. Its cutoff is the previous day.

Keep moved-out accounts separate from the occupied-space count. A row with a balance is not proof that a space is occupied.

Tenant Contact List

This report describes current tenants, their rented units and contact details. Spreadsheet versions also contain gate codes. Remove those codes, driver's-license details and real contact information from a sample shared for review.

Contact data is not a financial ledger. Preserve the original privately and use a redacted working copy.

Open Reports, supply the applicable dates and choose the output offered for that report. The guide identifies Print (PDF), Spreadsheet (CSV) and Excel (TXT), then Generate Report. Preserve the file as downloaded; check its actual format before editing.

Example: if the report ends September 22, keep a separate list of September 23 payments, move-ins and move-outs. Do not mix those two snapshots without a reconciliation note.

Read the money columns carefully

Separate deposits from prepaid rent.

Deposit is the paid security deposit. Prepaid includes prepaid rent, insurance and recurring service fees with tax. Keep the components separate when agreeing on the receiving records.

What does not come across

No drop-in importer for these vendor reports. Balances, deposits and prepaid rent need separate financial reconciliation. Historical payments, charges and signed documents stay in your retained records. Active waitlist requests need separate inquiry setup; none of these are carried by the migration CSV.

Access-control connections, saved payment credentials and existing automated workflows do not move just because names and units do. Confirm each job before choosing BayRoster.

At your desk

One snapshot. One billing system.

Choose a cutoff you can reconcile.

Write down the date, time, timezone and report period. Keep original files untouched. If a report closes at the end of the previous day, list payments, move-ins and move-outs since that cutoff separately.

Compare both sets of records through a full billing month. Only one system should issue bills or collect money. Parallel checking must not mean duplicate billing.

Keep the evidence within reach.

Retain signed agreements, financial history, deposits, prepaid-rent records and attachments separately. Confirm your vendor's notice period and record-access window before ending service.

Tell renters where to pay only after the new instructions are confirmed. Saved cards and autopay permissions are not assumed to transfer.

  • Write the snapshot date and the last transaction included.
  • Match every occupied space to its renter; resolve duplicates.
  • Reconcile unpaid balances, deposits and prepaid rent separately.
  • Review an anonymized sample and agree on mapped fields and manual work.
  • Set up the property layout, rates, payment account and renter instructions.
  • Name the one billing authority; compare a full month before accepting the move.
